February 2024 Update

Reminder – What is the Repaving MaineStreet Initiative?

Repaving MaineStreet includes projects to migrate the MaineStreet PeopleSoft® HCM (Human Resources) application to Oracle Cloud HCM and the PeopleSoft® Financials application to Oracle Cloud ERP, and a reimplementation of MaineStreet PeopleSoft® Campus Solutions (CS), the student information system. The initiative’s overarching goals are to provide:

  • An improved MaineStreet Experience for all
  • Expanded opportunities for collaboration between campuses
  • Enhanced consistency to support process improvements and data consistency

Timeline Updates

After careful consideration, the go-live dates for the Oracle cloud HCM and ERP projects were extended from July 2024 to January 2025. The exception is that the HCM Recruiting module will go live in July 2024 as originally planned. The extension is primarily due to functional and technical staffing constraints, data conversion challenges, process and data standardization requirements, and delayed App Reviews due to those factors and weather-related cancellations.

Sneak Peek! Applying for a Position in Oracle Cloud HCM Recruiting!

The Oracle Cloud HCM Recruiting module provides external job applicants (not current UMS regular or student employees) with an easy-to-navigate website to search, review, and apply for available UMS positions. A sneak peek is available here.

Stay tuned for next month’s update, when we will share a peek into how current UMS employees can apply for positions.

Training Preferences Survey Results & Training Updates

A survey was distributed to all employees at the end of 2023 to collect input about training preferences that will guide the development of training programs and contribute to the overall success of the Repaving MaineStreet initiative. A total of 285 employees submitted survey responses. Information about the survey results and training updates is available here.

What’s Happened Since the Last Update?

Oracle Cloud Human Capital Management (HCM) HR project

The HCM (HR) project team conducted App2.0 Review sessions from November through January for the Core HR, Recruiting, Onboarding, Compensation, Benefits, Absence Management, and Time and Labor Modules. The Payroll App2.0 Review sessions will be conducted in late February.

Enterprise Resource Planning (ERP) Finance project

The ERP (Finance) project team conducted App2.0 Review and Self-Guided Review sessions for the Accounts Receivable, General Ledger, and Cash Management modules from mid-December through early February. The new Chart of Account structure and the GL Inquiry replacement were demonstrated during the review sessions. Efforts related to the Purchasing and Expense modules resumed in February.

MaineStreet Campus Solutions (CS) Reimplementation project

The nearly 700 suggestions aimed at enhancing our MaineStreet Campus Solutions environment, provided by our implementation partners, ERP Analysts, have undergone initial review and categorization by the Core and Functional Area Teams. The ongoing process involves evaluating and prioritizing each recommendation, which will subsequently contribute to developing a more detailed project implementation plan.

Simultaneously, subteams are focused on various immediate initiatives within the Financial Aid and Student Records modules of Campus Solutions, prompted by external environmental factors such as shifts in government standards.

The project teams continue to collaborate closely with the Oracle Cloud HCM and ERP technical teams to ensure alignment of any interdependencies between the systems in short- and long-term scenarios.

What’s Next?

  • March: Begin implementation of priority Campus Solutions recommendations
  • March: HCM Payroll App2.0 Review sessions
  • March: HCM Recruiting and Onboarding App3.0 Review sessions
