UMS Pointnclick COVID-19 Vaccination & Compliance Verification User Guide v. 0.2

This user guide serves to describe the process of uploading your COVID-19 vaccination records and verifying your current compliance with the UMS COVID-19 Safety Protocols using the UMS COVID-19 Portal for students, faculty, and staff. This Web App is accessible from any UMS workstation, personal computer, smartphone, or other web-enabled devices. Your participation in this process is expected in alignment with the most recently posted guidelines available on the Together For Maine website (https://www.maine.edu/together/community-guidance/everyone/).

By participating in this process, your vaccination record will be stored within the UMS COVID-19 (PointNClick) Portal ONLY. The PointNClick system is a secure electronic medical record system used by healthcare providers and universities around the globe. By providing your vaccination record, you are consenting to and authorizing the University of Maine System to verify and use your COVID-19 vaccination status ONLY for pandemic management purposes, including compliance with University guidelines and the state of Maine, CDC, and other applicable laws, regulations, guidance or standards, which may include exemption from quarantine or testing in certain circumstances.

Accessing the Pointnclick Web App (Uploading Vaccination Information)

Using a web browser (PC/Mac, Tablet or Smartphone), visit https://umaineportal.pointnclick.com/

You will be taken to the UMS login page where you will be asked to enter your username and UMS password. Once verified, you will be taken back to the app.

In the UMS COVID-19 Portal, click on the Enter My COVID-19 Vaccination Information link.

A new COVID-19 Vaccine Card Upload panel will appear; click on Upload to add a .jpeg, .png, or PDF of your vaccination card adhering to the following guidelines:

  • Your image cannot be larger than 4 MB.
  • PDFs that do not pass a virus scan will not upload successfully.
  • Do not redact or obscure your name and date of birth.
  • You may redact or obscure your Medical Record Number (MRN) if included on your COVID vaccination card.
  • Enter the DATES and VACCINE TYPE for each dose received and shown on the uploaded vaccination card using the provided fields.
  • Click DONE to proceed.

After uploading your vaccination card image, the VERIFY UPLOAD panel will appear. Make sure the following information is clear.

  1. First & Last Name
  2. Date of Birth (required for account verification)
  3. Vaccination date(s)
  4. Vaccine type (J&J, Pfizer, Moderna, etc).

Select, Looks Good if your information is clear and accurate.

Select, Edit Image if you wish to rotate or adjust the brightness of your image.

Select Cancel Upload if you want to upload a new version of your card.

Edit Image. Using this feature, you can rotate your photo as needed or adjust the brightness and contrast levels to provide a clear image.

Once verified, a copy of your uploaded vaccination card image will appear along with the dates and types of vaccination doses received.

Click DONE to complete the upload.

Your vaccination card will be reviewed within 2 business days following successful upload. If there is an issue with your vaccination information, you will receive an email outlining the nature of the issue along with what will be required to resolve the issue.

Verify Your Vaccination & Compliance Status

To view the status of your Vaccination Card upload, please access the Medical Clearances page from the left-hand menu.

Under the ‘Items required for clearance’ section, the Details column will indicate the current status of your submission. In the example shown, the vaccination card upload is currently ‘Awaiting Review’

Upon review and verification of your vaccination card upload, your status on the Medical Clearances page will be updated to ‘Compliant’ and the details will indicate the clearance has been ‘Satisfied’.

Individuals may also verify their COVID-19 Vaccination information by either:

  • Selecting the IMMUNIZATIONS link on the left-side menu
  • Clicking the ‘Verify Your Vaccination Status’ link on the Home Page.  This page will display your name, when your uploaded information was verified within the UMS COVID-19 Portal, as well as your current vaccination status.

You may press the back button on your browser to return to the UMS COVID-19 Portal.

Logout

When finished, click Log out. You’ll be presented with a screen for Logout successful.
