Procedures for Disability and Workers' Compensation Claims: Integrated Disability Management
Integrated Disability Management (IDM) is an improved way to manage short term disability, long term disability, and workers’ compensation. Its goal is the efficient management of employee absences, resulting in little or no paperwork for employees and the University, and one toll-free telephone number to call.
Filing a claim involves a single call to a toll-free number, which is then directed to either Prudential (short or long term disability) or Gates McDonald (workers’ compensation). Prudential prepares the paperwork for a disability claim and Gates McDonald prepares and files the paperwork for a workers’ compensation claim. Coordination will improve the efficiency of both programs and, hopefully, eliminate any situations where information may "slip through the cracks", resulting in delays in benefits or assistance.
Refer to the IDM flyer, which contains guidance for reporting absences and an identification card for you to detach, sign, and carry with you. A photocopy of the card should be given to your medical provider(s), to authorize them to provide information necessary to process a claim. Please note the following:
You should report any absence, injury, or illness to your immediate supervisor and Human Resource Office.
In a workers’ compensation situation, the designated university representative will call for you and have the First Report of Injury prepared. The Gates McDonald claim examiner will then contact you, your provider(s), and the university to process the claim.
In a short or long term disability situation, you may call the toll-free number directly or you may go to your Human Resource Office for assistance. The Prudential claim examiner will then contact your provider(s), and the university to process the claim. Short term disability is an optional insurance program that you can enroll in during open enrollment. Long term disability insurance is provided by the University for all full-time regular employees.
